I. Reservation Provisions Online

Reservation using the online reservation system is performed as follows:

  1. Customer has the opportunity to choose from offered packages and standard accommodations, which are presented in the reservation system.
  2. After reviewing the content and price of the package, the customer can select the dates for the chosen room and additional options or package components.
  3. Once an offer is selected, the customer proceeds to the next step—a form where they provide personal data and any comments related to the reservation.
  4. After filling in the data, the customer can make an advance payment by one of the following methods:
    • Credit card (Visa, Mastercard, JCB, Diners Club, Polcard)
    • Electronic bank transfer (mTransfer from mBank, Płacę z Inteligo from Inteligo bank, MultiTransfer from MultiBank, Przelew24 from Bank Zachodni WBK)
    • Standard bank transfer
  5. If the customer chooses one of the first two options, they are redirected to a payment page to complete the transaction through the Dotpay system. Data authorization is performed through a secure 128-bit encryption protocol. Upon payment confirmation from the Dotpay system, the customer automatically receives an email confirming the payment and reservation. This email includes: customer information, hotel name, total lodging price, the advance amount, and the remaining amount to be paid at the hotel. The outstanding balance is to be paid upon arrival at the hotel. The reservation confirmation email must be presented at the hotel as proof of the advance payment and to settle the remaining balance.
  6. If the customer chooses the third option (pay by bank transfer or pay later), they will receive an email confirming a provisional reservation, which will be confirmed upon receipt of the advance payment via standard bank transfer or online system. The reservation remains provisional for 48 hours and may be canceled if the advance payment is not received within this period. Once the advance payment is received, the customer will receive an email confirming the reservation, which must be presented to the hotel upon arrival for final payment.

Ia. Reservation on Request

If no room is available during the online reservation process, a room may be offered to the customer on request. The customer, upon completing the form, will receive an email confirmation of availability (or lack thereof) and instructions on how to make the advance payment. The customer can complete the advance payment via credit card, electronic transfer, or standard bank transfer. The reservation will be confirmed upon receipt of the advance payment. After the advance payment, the customer will receive an email confirmation of the reservation, which must be presented at the hotel upon arrival for the final settlement.

II. Reservation Cancellation and Payment Terms

  1. The customer makes an advance payment by one of the three methods available in the system, with the outstanding balance to be paid upon arrival at the hotel.
  2. The customer incurs no additional fees for the transaction processing.

III. Final Provisions

  1. The customer is responsible for correctly entering all reservation details. The hotel is not liable for any incorrect arrival or departure dates or for any incorrect personal data provided by the customer.
  2. The electronic payment system Dotpay.pl is responsible for processing the reservation payment transactions.
  3. The hotel and the service provider are not liable for any system unavailability due to factors beyond their control.

IV. Personal Data

  1. By making a reservation, the customer consents to having their personal data stored in the database. This data will be used to complete the reservation process and for marketing purposes, in compliance with the data protection regulations set forth by the agreement of April 27, 2016, on data protection.
  2. According to the requirements of the General Data Protection Regulation (GDPR) of April 27, 2016 (Official Journal of the EU L 119 of 04.05.2016), the hotel is the data controller.
  3. The recipients of the customer’s personal data are only those entities authorized by law and entities involved in the service provision, including the reservation system operator HotelSystems.pl: american.pl Tomasz Długopolski, Szrenicka 46, 58-560 Jelenia Góra, NIP: 613-102-96-97.
  4. The hotel and data processors agree to keep all personal information obtained for the reservation service confidential.
  5. The customer has the right to request access, rectification, erasure, restriction of processing, and data portability.
  6. Providing personal data is voluntary but necessary for completing the reservation service.

V. Acceptance of Terms and Conditions

By selecting “I have read the Terms and Conditions,” the customer acknowledges and agrees to these terms. Failure to accept the Terms and Conditions will prevent the reservation from being processed.
